What we collect, why we collect it, who we share it with, and how you control it.

Attorney review required

This policy is a working draft prepared for the business. The owner should have counsel review and approve it before publication, particularly the retention periods, the rights section, and any obligations arising from where customers are located.

1. Who we are

Food Permit Experts (“we,” “us”) is an independent permit-assistance service operating in Texas. Contact us at Support@FoodPermitExperts.com, 713-596-5363, or 2100 W Loop S, Houston, TX 77036.

2. Information we collect

Account and order information

When you place an order or create an account we collect your name, email address, phone number, business name, business and service address details including city and county, the service you selected, and the intake information you provide about your operation. We also record order status history, the messages exchanged between you and our staff, and internal processing notes.

Documents you upload

We collect the files you upload in support of your application. These can contain sensitive business and personal information such as identification, ownership records, certifications, floor plans, and equipment documentation. We retain prior versions of replaced files so our staff can reconstruct what was submitted.

Payment information

Payments are processed by Stripe. We do not receive or store your full card number, expiry, or security code. We retain Stripe identifiers for your customer record, checkout session, and payment intent, plus the amount, currency, payment status, card brand, and last four digits for reconciliation and receipts. Stripe processes your payment data under its own privacy policy.

Checkout-abandonment information

If you enter your email and begin checkout but do not complete payment, we retain that email, your first name if provided, the service you selected, the base price, a cart identifier, timestamps, and your marketing consent state. We use this to send you a limited series of reminder emails. We do not collect permit documents at this stage.

Analytics and advertising attribution

Where you consent, we collect UTM parameters and, where legally and technically appropriate, a Google Click Identifier (GCLID) so we can understand which campaigns bring us customers. We send only coarse conversion events — such as a CTA click, a phone-link click, a checkout start, or a completed purchase. We do not send your documents, permit details, message contents, or the contents of form fields to analytics or advertising services.

Technical and security information

We log IP address, user agent, timestamps, and request identifiers for authentication events, administrative actions, and file access. This is used for security, fraud prevention, and to maintain an audit trail.

3. Cookies

  • Strictly necessary cookies keep you signed in and protect forms against cross-site request forgery. These cannot be switched off without breaking the site.
  • Optional analytics cookies load only after you choose to allow them. If you decline, no analytics or advertising scripts are loaded at all.

4. How we use your information

  • To prepare, submit, and follow up on your permit application
  • To communicate with you about your order and respond to your messages
  • To process payments, issue receipts, and handle refunds
  • To provide the customer portal and deliver your permit documents
  • To send transactional emails about your order, account, and security
  • To send abandoned-checkout reminder emails, where permitted, until you unsubscribe
  • To secure our systems, prevent abuse, and maintain an audit trail
  • To meet legal, tax, and recordkeeping obligations

5. Who we share it with

We do not sell your personal information. We share it only with:

  • Government authorities — the information necessary to file and pursue your application. This is the point of the service.
  • Stripe — for payment processing.
  • Our email provider — to deliver transactional and reminder emails.
  • Our hosting and infrastructure providers — who store data on our behalf.
  • Professional advisors or authorities — where required by law or to establish or defend legal claims.

6. Email preferences

Every marketing or reminder email includes an unsubscribe link. Unsubscribing stops promotional and abandoned-checkout email. It does not stop essential messages about your order, your account security, or your receipts — you need those, and they are not marketing. We maintain a suppression list so that unsubscribes and bounces are honored.

7. Data retention

We retain order records, payment records, and audit logs for as long as needed for the service and to meet legal, tax, and recordkeeping obligations. Uploaded documents are retained with the order file. We use archival rather than routine deletion for orders, files, payment records, messages, and audit logs, so that the history of an application remains reconstructable.

Specific retention periods should be set by the owner with counsel and stated here.

8. How we protect your information

  • Encryption in transit using HTTPS across the site
  • Passwords stored using a modern, salted, memory-hard hashing algorithm — never reversibly encrypted, and never visible to staff
  • Uploaded files stored outside the public web root, at unguessable locations, with authorization checked on every download and all access logged
  • Role-based access enforced on the server, so staff see only what their role permits
  • Multi-factor authentication required for administrators
  • Rate limiting and brute-force protection on authentication
  • An append-only audit log of significant actions

9. Your rights and choices

  • Access and review your orders, documents, messages, and receipts in your portal
  • Correct your name, phone number, and notification preferences in your profile
  • Change your password and sign out of all active sessions
  • Unsubscribe from promotional and reminder emails at any time
  • Decline optional analytics cookies
  • Request a copy of the personal information we hold about you, or ask us to correct or delete it, subject to our legal and recordkeeping obligations

10. Children

Our service is for businesses and organizations. It is not directed to children, and we do not knowingly collect information from them.

11. Changes to this policy

We may update this policy. Material changes will be posted here with a revised date.
